Purpose of the role

The Executive Assistant provides high-level administrative and support to senior executives, ensuring smooth daily operations, proactive planning, and efficient communication across the organization. This role also oversees full visitor management and travel coordination, ensuring a seamless experience for local and international guests who support the business.

A Taste of What You’ll be doing

1. Executive Support

  • Manage complex calendars, schedule meetings, and coordinate appointments.
  • Arrange domestic and international travel itineraries, accommodation, and logistics.
  • Prepare meeting agendas, presentations, and briefing materials.
  • Support in project tracking, follow-ups, and ensuring actions are completed on time.
  • Maintain and organize executive files, documents, and communication.

2. Communication & Coordination

  • Serve as the primary point of contact between the executive and internal/external stakeholders.
  • Draft, review, and edit emails, reports, and official communications.
  • Coordinate with cross-functional teams to support executive initiatives.

3. Office & Administrative Management

  • Support planning and execution of leadership meetings, townhalls, and events.
  • Manage expense reports and reimbursements via systems (e.g., Concur, SAP).
  • Ensure smooth operations of the executive office and maintain a professional image.

4. Visitor Management

  • Serve as the main coordinator for all domestic and international visitors.
  • Handle end-to-end visitor arrangements: agenda planning, meeting room booking, transportation, hotel reservations, meal planning, and onsite logistics.
  • Coordinate with security, reception, and functional teams to ensure compliance with plant protocols (PPE, registration, safety orientation).
  • Prepare welcome kits, visitor passes, and communication materials.
  • Provide onsite hosting for key leaders, ensuring a smooth and positive visitor experience.

5. Travel Management

  • Manage full-service travel arrangements for executives and employees

 

We’re Looking for Someone With

  • Bachelor’s degree in business administration, Management, or related field.
  • 3-5 years of experience as an Executive Assistant, Administrative Officer, or related role.
  • Experience in multinational companies or manufacturing environments is a plus.
  • Excellent verbal and written communication skills (Thai & English).
  • Strong organizational and time management skills.
  • High attention to detail and ability to multitask.
  • Strong interpersonal skills and professional presence.
  • Ability to maintain confidentiality and manage sensitive information.
  • Proactive, resourceful, and solution-oriented mindset.
  • Flexible and adaptable with a “can-do” attitude.
